Executive Assistant & Operations Coordinator – Luxury Womenswear E-Commerce
Location: Williamsburg, New York (1 WFH day)
Full-time hours, 10 am - 6 pm
Rate: $35-$38/hr
About the Role
We are seeking a highly organized and detail-oriented Executive Assistant & Operations Coordinator to oversee daily business operations, manage project timelines, and support the CEO of our luxury womenswear e-commerce brand. This role is critical in optimizing workflows, ensuring smooth execution of collections and campaigns, maintaining top-tier customer service, and driving operational excellence as the brand scales.

Key Responsibilities
Operations Management

Oversee daily business operations, ensuring efficiency across departments.

Manage all customer orders, 3PL coordination, customer inquiries, returns, and exchanges.

Manage the Shopify e-commerce backend, collaborating with the web developer to enhance the website experience.

Monitor inventory, Shopify sales, and conduct daily inventory checks to trigger timely reorders with manufacturers.

Manage supply chain and logistics to ensure timely product launches.

Implement and refine operational processes, creating SOPs to enhance productivity and scalability.

Leverage AI tools to streamline processes and eliminate inefficiencies.
-
Oversee social media scheduling, posting, engagement, and comments to ensure consistent brand visibility.

Capture behind-the-scenes video and iPhone content of the CEO and muses to drive organic content creation and support brand growth.

Monitor key performance metrics and identify opportunities for improvement.
Project Management

Develop and manage project timelines for collection launches, marketing campaigns, and brand initiatives.

Support product launches and drops on Shopify, coordinating with photographers, graphic designers, and retouchers.

Ensure deadlines are met by aligning design, production, marketing, and e-commerce teams.

Track budgets and resources to keep projects on schedule and within scope.

Identify potential roadblocks and proactively propose solutions.

Facilitate effective communication between internal teams and external partners.
Team & Leadership Support

Act as a liaison between leadership and team members to ensure strategic goals are executed.

Support hiring and onboarding processes for new team members.

Document and maintain SOPs and training materials to improve team efficiency.

Help build structure, systems, and workflows to support a growing team.
Executive Support

Manage and prioritize the CEO’s calendar, meetings, and travel arrangements.

Screen and respond to emails, calls, and correspondence on behalf of the CEO.

Prepare reports, presentations, and documents as needed.

Coordinate internal and external meetings, handling all logistics.
-
Maintain confidentiality and handle sensitive information with discretion.
Operations & Project Coordination

Track key deadlines and deliverables across ongoing projects.
-
Liaise between departments to ensure seamless execution of tasks.

Manage vendor communication, invoice tracking, and supply chain coordination.
-
Conduct research and compile data to support strategic decision-making.
-
Assist the CEO with both business-related and occasional personal tasks as needed.
Requirements:

5+ years of experience in operations and/or project management, preferably in luxury fashion or e-commerce.

Strong understanding of fashion production cycles, supply chain, and logistics.

Expertise in project management tools (e.g., Notion, Asana, Monday.com, Trello).

Demonstrated experience developing SOPs and scalable workflows.

Ability to learn on the fly, self-teach by researching solutions, and troubleshoot independently.

Solution-oriented mindset with the ability to adapt quickly and problem-solve with limited guidance.

Excellent organizational, problem-solving, and leadership skills, with the ability to work with urgency.
